Job Title: McCSEC Office Assistant

                                   

                    Experience:      Minimum of one year of job-related experience and/or training in office management.

                      Education:      High School diploma or general education degree (GED)

                           Status:      260 days – Benefit Eligible

                           Salary:      Classified Salary Schedule__Determined by qualifications and experience

                       Location:      McPherson County Special Education Cooperative (McCSEC) office

                           Hours:      Part-time (4 hours) or Full-time (8 hours) available.

                       Report to:      McCSEC Executive Director

        FSLA Classification:      Non-exempt

                                               

 

Purpose Statement

      The McCSEC Office Assistant will assume secretarial and office management responsibilities in coordination with the McCSEC Data Clerk and Director of Special Education. This individual will support the daily functions of the McCSEC. Establish and maintain a pleasant environment for staff members- students- parents and others and will work as a team member with office personnel and others to promote an atmosphere of friendliness- efficiency and competency. The employee will work toward the common purpose of communicating with and providing service to teachers- students and communities.

Performance Responsibilities

  • Help assure the smooth and efficient operation of the McCSEC.
  • Work closely with the McCSEC Data Clerk to support the maintenance of the MIS (Management Information System) as directed by KSDE using the SPEDPro database application system.
  • Maintain and assist staff with the WebKIDSS database system to ensure accurate reporting of student IEP information.
  • Produce purchasing requisitions- mileage reimbursement forms- contracted service reports- and other documents as needed.
  • Maintain an accurate filing system.
  • Cross-train with the Medicaid Clerk to support the completion of daily Medicaid reporting duties during an absence.
  • Performs other related duties as assigned by the Director for the purpose of ensuring the efficient and effective functioning of the McCSEC.

 

Job Requirements: Minimum Qualifications

Skills- Knowledge and Abilities

SKILLS are required to perform multiple- complex- technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: computer skills- including knowledge of Microsoft Word and Excel- preparing and maintaining accurate records; exercising strong written and oral communication skills; and using pertinent software applications.

 

KNOWLEDGE is required to perform basic math- including calculations using fractions- percentages- and/or ratios; review and interpret technical information- analyze situations to define issues and draw conclusions. Specific knowledge based competencies required to satisfactorily perform the functions of the job include learning and managing multiple database systems.

 

ABILITY is required to schedule activities- meetings- and/or events; gather- collate- and/or classify data; and use basic- job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of widely varied types and/or purposes; and utilize job-related equipment. Independent problem solving is required to analyze issues and create action plans. Specific ability based competencies required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; employing active listening; diffusing confrontations; and working as part of a team.

 

Responsibility

Responsibilities include: working under limited supervision and guidance- and/or coordinating with others. Utilization of resources from other work units may be required to perform the job`s functions. There is a continual opportunity to impact the organization’s services.

 

Work Environment

The usual and customary methods of performing the job`s functions require the following physical demands: occasional lifting and carrying up to thirty five (35) pounds- some pushing- and/or pulling- frequent stooping- kneeling- and/or crouching and significant fine finger dexterity. Generally the job requires 75% sitting- 20% walking- and 5% standing. The job is performed under minimal temperature variations and in a generally hazard free environment. The job is performed under conditions with some exposure to risk of injury and/or illness.
