Lawrence Gardner High School Registrar

Smoky Hill Education Service Center is seeking candidates for the position of Registrar for our program at Lawrence Gardner High School inside the Kansas Juvenile Correctional Complex in Topeka. The Registrar will be responsible for leading the efforts in registering students and maintaining computerized student records and files; providing student information to authorized parties in compliance with established policies; and providing general clerical support, information, and/or direction as assigned.

Requirements:

  • High School Diploma or GED

Position Responsibilities Include:

  • Requests transcripts of incoming students (e.g., make necessary phone calls, requests records, create cumulative file folder, etc.) for the purpose of transferring grades and semester credit hours into the student information system
  • Evaluates records and informs appropriate personnel of possible student course deficiencies (e.g. updates cumulative folders, etc.) for the purpose of assisting in addressing student course requirements
  • Maintains student information in the approved school information management system
  • Maintains a variety of manual and electronic documents, files, and records (e.g., grades, transcripts, student information, etc.) for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements
  • Performs enrollment and withdrawal activities (e.g. request records, verify residency, send records, check fees transactions, state codes, etc.) for the purpose of complying with established requirements
  • Prepares standardized documents and reports (e.g. form letters and memos, calendars, bulletins, periodic reports, etc.) for the purpose of communicating information to other parties and/or agencies
  • Processes a variety of documents and materials (e.g. transcripts, verifications, monthly, quarterly, and end-of-year reports, etc.) for the purpose of providing required information in response to requests from students, other districts, colleges/universities, employment agencies, state and school systems, including the Kansas State Department of Education (KSDE), Smoky Hill Education Service Center, Kansas Juvenile Correctional Facility (KJCC), and other agencies as determined
  • Research discrepancies in student records for the purpose of verifying graduation status and ensuring the accuracy of information
  • Responds to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents and/or students, Smoky Hill Education Service Center staff, KJCC staff, etc.) for the purpose of providing information
  • Verifies student-related data (e.g. grades, information, etc.) for the purpose of ensuring the accuracy of the student records
  • Develops, coordinates and maintains student portfolios, release documents and Individual Learning Plans
  • Attends department meetings, in-service events, workshops, and/or seminars as assigned for the purpose of conveying and/or gathering information required to perform job functions
  • Assists with the student testing programming
  • Develops and oversees processes and systems to ensure smooth operations in the administrative office when the Office Manager is unavailable
  • Maintains confidentiality at all times
  • Completes all secretarial/clerical functions of the department in an efficient and timely manner
  • Assists and collaborate with the schools administration, office staff, and others to meet the schools and KJCCs mission, vision, and goals
  • Assists in the school office with duties as assigned
  • Performs all other duties as assigned by the schools administration

  • Strong interpersonal and communication (both oral and written) skills with the ability to present information effectively to a wide range of audiences.
