Greenbush - The Education Service Center is seeking applications for a Learn & Play Administrative Assistant at Russell Child Development Center in Southwest, KS.

Anticipated start date: June 1, 2022. Position will remain open until filled.

Purpose Statement:  The job of Learn & Play Administrative Assistant was established for the purposes of providing a wide variety of complex and confidential administrative and secretarial support; maintaining current program records; communicating information; and supporting program technology applications.

Essential Functions: 

  • Maintains a variety of manual and electronic files and records for the purpose of providing documentation in accordance with administrative, funding, and legal requirements.
  • Compiles data from a variety of sources including but not limited to: Jotform, DAISEY, ASQ Online, and Excel for the purpose of preparing reports and providing information access.
  • Enter and organize data, including but not limited to:
    • Attendance of each Learn & Play site from Jotform submissions;
    • New and updated enrollment and exits into DAISEY data system;
    • Manage ASQ Online for the Learn & Play Program;
    • Assign DAISEY identification numbers to each child and caregiver and use Excel to compile this data;
    • Maintain Excel workbooks for each Learn & Play site with data identified by Data Manager and Program Coordinator;
    • Additional data entry and organizational tasks as assigned by supervisor.
  • Assists Learn & Play Facilitators with questions and troubleshooting for Jotform, Excel, Learn & Play communications, and ASQ Online.
  • Creates and maintains electronic files for each child enrolled in Learn & Play in coordination with Learn & Play Coordinator, Data Manager, and other Building Blocks staff members.
  • Proficient (or willing to become proficient,) in using Google accounts and Chromebooks; assist others in learning and using Google accounts and Chromebooks.
  • Create flyers for communicating schedules for each Learn & Play site bi-annually and make updates as needed.
  • Communicate any changes to Learn & Play schedules to RCDC staff and the public (via website.)
  • Assist with preparation and management of meetings, projects, and other identified priorities.
  • Complete orders of materials, equipment, and supplies as needed for Learn & Play in coordination with sites and supervisor.
  • Participate in a variety of meetings, workshops, trainings, etc. for the purpose of maintaining current skills, providing or receiving information, and supporting the achievement of agency objectives.
  • Adhere to all professional guidelines as outlined in agency policies.
  • Perform other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the agency.

Skills, Knowledge and Abilities

SKILLS are required to perform multiple tasks with a need to occasionally upgrade in order to meet changing job conditions.  Specific skill-based competencies required to satisfactorily perform the functions of the job include:  adapting to changing work priorities; working as part of a team; working with detailed information/data; operating standard office equipment including utilizing pertinent software applications; and preparing and maintaining accurate records.

KNOWLEDGE is required to perform basic math, compose documents, read technical information, and solve practical problems.  Specific knowledge-based competencies required to satisfactorily perform the functions of the job include:  current generation computer software and operating systems; business telephone etiquette; common office machines; concepts of grammar and punctuation; and office methods and practices. 

ABILITY is required to schedule activities, meeting and/or events; often gather, collate, and/or classify data; and use job-related equipment.  Flexibility is required to work with others in a variety of circumstances; analyze data using defined processes; and operate equipment using a variety of standardized methods.  Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize a variety of job-related equipment.  Problem solving is required to analyze issues and create action plans.  Problem solving with data frequently requires independent interpretations of guidelines; and problem solving skills with equipment are moderate.  Specific ability-based competencies required to satisfactorily perform the functions of the job include:  adapting to changing work priorities; communicating with diverse groups; working with frequent interruptions; developing and maintaining positive working relationships; maintaining confidentiality; meeting deadlines and schedules; working as part of a team; and setting priorities.

Responsibility

Responsibilities include:  working under supervision using standardized practices and/or methods. Utilization of some resources from other work units is often required to perform the job’s functions.  There is a continual opportunity to impact the organization’s services. 

Working Environment

The usual and customary methods of performing the job’s functions require the following physical demands:  some lifting, carrying, pushing and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity.  Generally the job requires 50% sitting, 35% walking, and 15% standing.  The job is performed under minimal temperature variations and in a generally hazard free environment.
