Job Description

The job description listed below is designed to provide a general outline of the expectations of Middle School Secretary/Attendance in USD 409.  As such the description should not be interpreted as all encompassing or inclusive.

 

Title:  Middle School Secretary/Attendance – Ten-Month Position

 

Purpose:  The Middle School Secretary provides office and clerical support to assist with the efficient operation of the school district.  To accomplish these tasks- the Middle Secretary works closely with the staff and administration of the district. This position is a non-exempt position according to the Fair Labor Standards Act.

 

Responsible to:         Building Principal(s)

Payment rate:           Salary and benefits as established by the Board of Education

 

Qualifications:        

  • High School diploma or equivalent.
  • Health and Inoculation Certificate on file (after employment offer is made).
  • Experience as a secretary- with customer service skills.
  • Demonstrated typing and filing skills.
  • Experience in using various computers and computer programs.
  • Desire to continue career improvement by enhancing skills and job performance.
  • Requires use of equipment including repetitive motions and computer eye fatigue.
  • Must be able to work in noisy and crowed environments- with numerous interruptions.
  • Must be able to handle multiple tasks at one time efficiently and courteously.

 

General Functions:

  • Provide office and clerical support to assist with the efficient operation of the school district.
  • Ensure all activities conforms to District guidelines.
  • Communicate and work with effectively and cooperatively with members of the school district and community.
  • React to change and frequent interruptions in a productive and positive manner- meeting deadlines as assigned.
  • Operate all equipment appropriately as required.
  • Work to implement the vision and mission of the district.
  • Receive & relay various messages to students and staff.
  • Screen visitors and telephone calls- directing them to the appropriate person/department.
  • Send route incoming mail.
  • Compose- type- and copy correspondence- reports- bulletins- records- and other materials.
  • Obtain- gather- and organize data as needed.
  • Maintain an orderly filing system.
  • Maintain accurate attendance records- and report attendance problems to the Assistant Principal.  Enter attendance into the computer.
  • Maintain accurate student cumulative folders.
  • Enrolls students.
  • Collect- report- and deposit money received by Middle School Offices and maintain accounts.
  • Prepare September 20th building report & end of year QPA Report.
  • Maintain and submit a daily log of school hours.
  • Schedule school pictures and retakes.
  • Make certificates and awards.
  • Distribute office passes and notes as directed.
  • Order- receive- and distribute supplies.
  • Supervise and assist in training new employees.
  • Place orders for materials according to the current budget- verify quantities delivered- and distribute to staff.
  • Keep current on new information- innovative ideas and ideas and techniques.
  • Keep student and personnel information records confidential.
  • Observe and follow all school district policies at all times.
  • Respond to information requests in a cooperative- courteous- and timely manner.
  • Implement and follow all District health and safety policies- including all precautions of the Blood borne Pathogens Exposure Control Plan.
  • Administer first aid to injured/ill students in the absence of the school nurse according to policy.
  • Maintain accurate inventory.
  • Contact parents as needed.
  • Schedule appointments and assemble materials for meetings.
  • Track and report staff/teacher absences and request substitutes as needed.
  • Perform other duties and assume other responsibilities as assigned by the principal.
  • Receive & relay various messages to students and staff.
  • Regular attendance is required of all employees subject to allowed leave in accordance with district policy or negotiated agreement- as appropriate.  Excessive absences or tardiness- unauthorized leave or unexcused absences may result in disciplinary action including termination of employment.

 

Essential Responsibilities:

  • Supervision of student office assistants.
  • Enter/Oversee attendance in PowerSchool.
  • Generate absent list hourly.
  • Notify parents of excessive absences (by mail and/or phone).
  • Notify principal(s) of truant students who need to be reported to the county attorney.
  • Keep weekly and annual attendance- and enrollment reports-coordinate with Board Office-for Principal’s Building Report (September 20th).
  • Keep “Add” and “Drop” lists ready for instant referral.
  • File Log Entries and mail original copy to parents each day.
  • Keep discipline files organized and be prepared to print discipline reports for teachers and administrators.
  • Copy and mail record release requests of transferring student. Process records when received.
  • Compile printing order each spring for budget/check and store when delivered.
  • Keep daily log of school in session/closed.
  • Prepare for mailing and type list of textbooks for rebinding in June.
  • Sort and distribute postal and inter-school mail.
  • Type and distribute suspension letters.
  • Collect weekly lesson plans.
  • Mail tardy notifications to parents.

 Assist at counter (admits- call slips- blue student passes- etc.)

  • Answer phone.
  • Enrolling and preparing records for new students.
  • Assist in duplicating and assembling programs- office forms- etc.

Placing transcript labels and test results in student folders-8th grade records to AHS
