Qualifications:

  • High School diploma or equivalent.
  • Health and Inoculation Certificate on file. 
  • Experience as a secretary- with customer service skills.
  • Demonstrated typing and filing skills.
  • Experience in using various computers and computer/software programs.
  • Desire to continue career improvement by enhancing skills and job performance.
  • Requires use of equipment including repetitive motions and computer eye fatigue.
  • Must be able to work in noisy and crowed environments- with numerous interruptions.
  • Must be able to handle multiple tasks at one time efficiently and courteously.

 

General Functions:

  • Provide office- clerical support- and dispatching support to assist with the efficient operation of the transportation department.
  • Communicate and work effectively and cooperatively with members of the school district and community (e.g. Powerschool Coordinator- Superintendent- Principals- Parents- Guardians- etc).
  • Operates all computer equipment appropriately as required- and become familiar with transportation (transportation routing) software.
  • Ensure all activities conform to District guidelines.
  • React to change and frequent interruptions in a productive and positive manner- meeting deadlines as assigned.
  • Work to implement the vision and mission of the District.
  • Requires prolonged sitting or standing- and use of equipment including repetitive motions and computer eye fatigue.
  • Must occasionally work in noisy and crowded environments- with numerous interruptions.
  • Participates in unit meetings- in-service training- safety workshops- etc. for the purpose of conveying and gathering information required to perform job functions.
  • Regular attendance is required of all employees subject to allowed leave in accordance with district policy or negotiated agreement- as appropriate.  Excessive absences or tardiness- unauthorized leave or unexcused absences may result in disciplinary action including termination of employment.
  • Adheres to all USD 409 policies and procedures.

 

Essential Responsibilities:

  • Compiles data (e.g. workorders- mileage- driver demographics- etc.) for the purpose of preparing reports or providing needed information and processing requests. 
  • Coordinates assigned projects and program components (e.g. scheduling District’s motor pool for special trips- department ereqs- credit card(s) data and reporting- accident reporting- etc.) for the purpose of assisting in the completion of department activities and delivering services in compliance with established guidelines.
  • Arranges motor pool reservations for district staff and maintain motor pool calendar.
  • Maintains inventories of supplies- equipment for the purpose of ensuring inventory availability.
  • Monitors department budget and expenses for the purpose of documenting activity and providing information to assigned administrators.
  • Oversees data base (e.g. district staff members who transport students in district vehicles- etc.) for the purpose of ensuring availability for qualified personnel.
  • Processes a variety of documents and materials (e.g. vendor billings- supply orders- requests for repair and maintenance- etc.) for the purpose of disseminating information in compliance with established requirements.
  • Responds to inquiries from a variety of internal and external parties in person and by phone (e.g. District staff- vendors- state and federal agencies- public- students- parents- etc.) for the purpose of receiving and conveying information- identifying issues- resolving problems and referring individuals to the proper person(s) for issue resolution.
  • Supports assigned administrators and department staff for the purpose of assisting in the completion of department and District objectives in a timely manner.
  • Maintain a schedule of appointments and other meetings for the transportation director.
  • Work with the transportation director in carrying out day-to-day operations necessary for an effective operation
  • Assist the transportation director to establish a smooth transportation program of schedules- communication with parents- and needs of drivers.
  • Update personnel files in accordance with state statutes for transportation- i.e. Physical- CPR- First Aid- CDL- and Defensive Driving.
  • Schedule- maintain- and update computer files for maintenance- student transportation and trip schedules daily.
  • Communicate with maintenance- custodial and service center staff regarding requests- work orders- and other information.
  • Performs other related duties- as assigned- for the purpose of ensuring the efficient and effective functioning of the work unit.
