Annual Giving Coordinator

Position Description:  As Annual Giving Coordinator, the incumbent is responsible for raising vital funds for our school. They oversee all aspects of the process, including making asks, coordinating community volunteers, and collaborating with the Advancement Team. 
 

The primary responsibilities 

 

 

  • The Annual Giving Coordinator is responsible for raising unrestricted donations for the Fund for Collegiate. Primary strategies are individual solicitations, securing corporate sponsorships, overseeing the direct marketing campaign, and overseeing the two fundraising events: Day of Giving and the Spartan Bash. 
  • Develop, implement, and coordinate fundraising events that engage our community and advance our fundraising plan. The Annual Giving Coordinator will oversee the Spartan Bash and support other fundraising events as needed. Will have primary responsibility for: 
    • Spartan Bash: Recruit, lead, and engage volunteers. Oversee all aspects of the event, including soliciting live and silent auctions items, securing sponsorships, managing the budget, & coordinating event logistics and decorations.
    • Day of Giving: Identify and promote meaningful community engagement with kick-off activities and work with Divisions to organize campus celebrations to promote giving. This day kicks off the Fund for Collegiate fundraising. 
  • Leverage technology that promotes ease of donating to the school; examples include, but are not limited to, Classy sites to support Day of Giving donations and the Spartan Bash. Demonstrate a willingness to identify and incorporate new technology as needed. Update Raisers Edge with donor notes after meetings. 
  • In partnership with the development team, identify and foster relationships to attract former donors back to the community. Support the development and execution of a strategic communication plan. Build and maintain a pipeline of prospective donors and corporate sponsors by conducting research that matches the Schools goals and mission. 
  • Oversee and coordinate the donor appreciation efforts. In partnership with the development team, identify donors and execute donor acknowledgments in accordance with the matrix. 
  • Support the management of the centralized sponsorship marketplace and provide timely delivery of promised sponsorship perks. At every opportunity, look for ways to exceed donor expectations. 
  • Create a powerful WHY statement to encourage unrestricted giving. Write and edit for publication on behalf of the Board and Administration as needed to ensure a unified voice and message around fundraising efforts.
  • Update and maintain WCS family business database
  • Help coordinate Major Donor Celebration 
  • Represent Collegiate with positivity and professionalism. Be the biggest cheerleader of our faculty, staff and coaches.

Minimum Qualifications: High school diploma and at least three years of experience in fundraising and managing high-level volunteers. Ideal candidates demonstrate the following knowledge, skills, and abilities:

  • 3 years of relevant fundraising experience, especially special event fundraising and sponsorship solicitation
  • 3 years managing and cultivating high-level volunteers 
  • Excellent customer service skills 
  • Attention to detail and advanced data entry skills. 
  • Strong oral, written, and interpersonal communication skills, both in person and over the phone. Ability to communicate professionally, with tact and diplomacy.
  • Ability to multitask, work independently, and prioritize workload; proven experience maintaining confidential information.
  • Self-motivated, seeks opportunity to learn, and highly organized with very keen attention to detail.
  • Proven success at working collaboratively and efficiently on a creative and goal-oriented team.
  • Demonstrates tact, patience, professionalism, and a sense of humor in all settings.
  • Ability to extract, warehouse, and compile data from information systems.
  • Ability to manage workload priorities and/or seek guidance as necessary.
  • Strong work ethic and sense of personal responsibility for work outcomes.
  • Flexible, organized, and able to work accurately under time constraints and deadlines.
  • Ability to anticipate and resolve complex and/or confidential administrative issues with excellent judgment and little or no supervision.

Work Environment: The Development Office hours are M-F, 8:00 am to 5:00 pm.  The primary work location is on campus in the assigned office. May be required to work evenings and weekends. Approved flexible hours to accommodate demands outside of business hours.
